Working with documents from your places list
You can perform a variety of tasks with documents from your places
list. If you have installed the Lotus® Quickr™ connector for Microsoft® Office,
you can also perform many of the same tasks using the Lotus Tools menu option from an open Microsoft Word, Microsoft Excel,
or Microsoft PowerPoint
document.
- Opening documents for reading or editing
You can open a document from your places list for reading or editing. When you open it for editing, it is checked out from the place. The application required to open the document must be available on your computer.
- Checking out documents without opening them
You can check out a document from your places list without opening it. Checking out a document prevents others from editing it. To check out a document you must have the access necessary to edit it. When you check out a document a lock icon displays next to it in your places list.
- Working with document properties
A document's properties box displays information about a document in your places list. If you have the access level that allows you to change the document, you can edit some of a document's properties.
- Adding documents to places
You can create new documents to add to places and you can add documents that already exist in your local file system to places.
- Using the draft approval process
If an approval process is enabled for a draft document, from your places list, you can submit a draft document for approval. If you are a reviewer, you can approve or reject a draft document. Before submitting or approving draft documents, select the Show Views place property.
- Working with document versions
If versioning is enabled for a document type, you can create a new version of a document with its own version number while saving an archived version of the original. Document versioning enables you to keep a history of document iterations and to restore archived versions of documents. You cannot create new versions or restore archived versions of draft documents or of documents that are checked out.
- Copying documents to your local file system
You can copy a document in a place to your local file system.
- Mailing links to documents
Send e-mail messages that contain links to place documents. You can use this feature with any e-mail application that is MAPI-compliant. You can mail links only to published documents that are checked out by you, or that are not checked out. You cannot mail links to documents checked out by others.
- Copying and pasting links to documents
You can copy links to place documents and then paste them into applications that accept html links, such as e-mail messages and html pages.
- Deleting documents
Deleting a document removes it permanently from the place. Once you delete a document you cannot retrieve it. Before deleting, be sure that the document is no longer needed or create a backup copy on your local computer. You cannot delete a draft document that is pending approval or a document that is checked out by another user.
- Monitoring document changes
The Quickr File Monitor keeps track of document changes in the monitored folder.
