Moving attachments to a Lotus Quickr place

Over time, you can streamline the size of your mail file or other IBM® Lotus Notes® application by saving files you already have as attachments in a place, and saving links to them in the mail file or application.

You can select any Lotus Notes document, such as a mail message, and move the attachments in it to a IBM Lotus Quickr place, available for sharing with other users. Replacing attachments with links to the place decreases the size of the mail file or Lotus Notes application on the server. This is particularly useful if your organization enforces mail quotas.
Tip: If you replace many large attachments, you may want to compact your mail database or ask your mail administrator to do so.

Attachments are saved to your default place location. You can change the location where they are saved for this procedure only, or you can change the default location in preferences.

To move the attachments to a place and replace them with links, perform the following steps:

  1. Open an existing Lotus Notes document that contains attachments you want to move.
  2. Select any attachment in the document, right-click, and select Save to Lotus Quickr Place. A list of attachments in the current document appears.
  3. By default all attachments are selected. Deselect check boxes for any attachments in the document that you do not want to replace.
  4. Select Replace attachments as links.
  5. Optional: To change to a location other than your default place location, click Change Location. If you have access to more than one place, you see their names in the list. Select a place and a folder and click Select.
  6. Click OK to remove the attached files and add a link to the files in the document.
  7. Save the document.
