Creating and editing content

You can create content if you are the creator of the place, are the manager of the room where you want to create the content, or have been granted author or editor access privileges in the place or room where you want to post the content.

You can edit content if you created it or have been granted editing rights to the document or if you have editor or higher access. If you have editing rights to content that other people can also edit, you need to check out the document before you edit it. Checking out a document puts a "lock" on it so that nobody else can edit it until you republish or revert the document. When another person with editing rights to a document you checked out visits that document, the Edit option is replaced by the Check Out option in the table of contents. That editor can then click Status to find out who checked the document out for editing.

When you finish editing a document you checked out, you need to check in the document to publish your changes and make the content available to other editors for editing if desired.

If you interrupt the editing of a Microsoft Word, PowerPoint, or Excel file-based document by navigating to another Web site or by closing the browser, you can resume editing the content without losing any information.

Activity Description
Creating the title

The title can include multiple words. Try to keep the title short so IBM® Lotus® Quickr can display it in its entirety in the table of contents or in the listing of posts in a folder or the index.

To display the title, your name, and the creation date at the top of the finished document, select Show the title, author and date created? If you or someone else later edits the content, Lotus Quickr changes the date to show when the document was modified.

Choosing a location for the content If you have manager privileges in the place, you can choose to display the post title in the table of contents, in a folder, or in the current place's or room's index. If you have author or editor privileges in the place and you have access to one or more folders in the current room, you can choose the folder where you want to display the content or choose the Index as the destination for the title. If there are no folders in the current room (or none that you have access to), you can display the title in the Index only.
Note: The location of the table of contents is specified in the skin "theme." It contains links to other posts, folders and rooms within your place. Links that are in the table of contents are very prominent to those who visit your place, so it is best to put critical content only in the table of contents; that is, content that you want virtually every visitor to read. Try to limit the number of entries in your table of contents to nine or fewer. Only managers of a place can add titles to, remove titles from, or reorder titles in the table of contents.
Inserting graphic text into a post

Use graphic text to accentuate some content so that it stands out from the rest of the text in the document. To create a special eye-catching headline, for example, you can use graphic text and specify a special font, or typeface, for the text; choose a special visual effect for the text, for example, blurred type; and select a color and size for the text.

You can also animate the text. Animated text is text that appears to move onto the page or change in some way as the reader looks at the page. You can choose to have the text slowly become visible, as the reader looks at it; become visible and then invisible again, over and over, in a loop; slide into place from the left, top, right, or bottom and then remain anchored in place; slide into place from the left, top, right, or bottom and then slide into place over and over again; or change color.

The best way to understand the effect of a particular animation option is to choose the option, make the rest of your selections, and then insert the graphic text. If you do not like the effect you chose, you can delete the graphic text and then reinsert new graphic text that uses a different animation option.

Note: Graphic text is saved internally as a graphic, not as text. After you insert graphic text, you cannot edit it the same way you would edit ordinary text. If you want to make changes to graphic text, you must delete the graphic text from the document and then insert new graphic text in the same area of the document.
Moving text on a page

After you enter or edit text in the rich text editor, you can cut the text (or a portion of it), copy it, and paste it elsewhere within the content area. Highlight the text you want to cut, copy, or paste, and then use one of the following key combinations:

  • Ctrl-C copies the text. You can then paste one or more copies of the text elsewhere in the content area.
  • Ctrl-V pastes the text you cut or copied into the content area at the location of the cursor.
  • Ctrl-X removes the text from the content area. You can then paste the text elsewhere in the content area.
Inserting an image from your computer
  1. Open the document where you want to insert an image.
  2. Click the spot in the rich text editor where you want the image to appear.
  3. Click Insert Image above the contents box and then click Browse.
  4. In the dialog box that appears on the screen, choose the folder that contains the image file, and then select the image file name and click Open.
  5. If you change your mind and want to use a different image file, click Replace, Browse, or Choose File to specify a new location and image file.
  6. Click Next and then publish the document.
Note: If you change your mind and decide you want to use a different image file, do one of the following things: If you are using Internet Explorer, click Replace and specify the location of the new image file. If you are using Mozilla, click Browse again and specify the location of the new image file, or type the path name of the new file in the text box.
Inserting an image from the image gallery
  1. Open the document where you want to insert an image.
  2. Click the spot in the rich text editor where you want the image to appear.
  3. Click the Select Image button.
  4. Click Insert Image above the contents box and then click Insert Image.
  5. Click the button next to the image you want to include.
Adding an attachment

You can attach a file if you want to share the file with other place members, or if you want people to be able to download the file to their own computers so they can work with it using the same application you used to create it.

You can add and remove attachments using Internet Explorer, Mozilla, or Safari.

To create an attachment using Internet Explorer, you need to specify the location of the file that you want to attach. Either drag the file icon from your desktop into the attachments area below the contents box, or follow this procedure:

  1. Click the Folder icon below the contents box.
  2. In the Open dialog box that appears on the screen, select the name of the file or files you want to attach, and then click Open.
  3. If necessary, repeat this procedure to attach additional files to the page.

When you finish creating the page, Lotus Quickr creates a copy of the file or files and attaches them to the document. In the finished document, an attachment is indicated by a file icon at the bottom of the page. Readers can click the icon to get access to the information in the attachment.

To view the attachment to verify you selected the right one, click Open Attachment. To delete an attachment, highlight the file icon that represents the attachment and then click the X icon.

To create an attachment using Mozilla or Safari, you need to tell Lotus Quickr the location of the file that you want to attach, as follows:

  1. Click the Browse button (Choose File in Safari) below the contents box. (You may have to scroll the button into view using the scroll bar at the right of the screen.)
  2. In the dialog box that appears on the screen, select the name of the file you want to attach, and then click Open (Choose in Safari). The file name that you selected appears next to the button.
  3. Click Add to List to add the file to the list of files to attach.

When you finish creating the document, Lotus Quickr creates a copy of the file and attaches it. When you view the finished document, you see the underlined file name at the bottom of the page. The underline tells readers they can click this text to get access to more information.

To delete an attachment, delete the file name of the attachment in the box next to the Browse or Choose File button.

Uploading content to a place's library

You can upload a file or set of files to a place's library to share those files with other place members.

  1. Click the Library folder and then click the Upload button.
  2. Click Browse to find the file or set of files you want to attach and then click Add to List. If you subsequently decide not to include a particular file, click Remove beside the list box.
  3. Provide a name for the collection and decide whether you want the title author, and date of the post to show.
  4. Click Save as Draft if you are not finished with your edits, Create if your upload activity is complete, or Create with options if you want to change publication options. Clicking Cancel removes your changes.
  5. If you clicked Create with options in the previous step, choose one or more publication options and then click Next. Supply all necessary information then click Done.
Notifying place members of the new or updated content Decide whether or not to notify place members about the publishing of the new or updated document. If you decide to notify, you can further decide whether to notify all place members or specific individuals. To notify specific individuals:
  1. Select Notify specific individuals in the Email notification field.
  2. On the message notification dialog that displays, enter the email addresses of those people you want to know about the document you are publishing.
  3. Click Next.
